As an Expense Administrator, you will ensure that essential acquisitions are made with necessary paperwork completed in line with requirements of the programme; engagement with regions, suppliers, outlets and internal teams, via remote methods such as the telephone and in writing to ensure accurate records are obtained and maintained.

A typical week will involve delivering engaging virtual services, utilising our specialist systems and applications and ...

  • Manage the efficient purchase of staff and participant requirements across the region.
  • To keep accurate records of all staff and participant purchases on Ingeus’s database, excel trackers and manual paperwork.
  • To manage, order and administer, staff and participant payments, vouchers, BACS, manager’s credit card, checking of invoices in line with Finance processes and procedures.
  • To ensure that adequate forms, receipts and supporting evidence exists for all staff and client payments.
  • Set up New Suppliers as required to meet regions procurement needs.
  • Ensure that bulk orders are pre-planned where necessary, pre-planning sign-off’s where possible.  
  • To provide support including; answering calls in a timely, professional manner and escalating messages accordingly
  • To complete tasks/projects as directed by manager when required.
  • To support the Team Manager/Head of Delivery in managing the performance of providers/outlets against a range of key performance indicators, compliance, and quality standards.
  • To provide feedback to regions in relation to the quality and completion of participant paperwork.
  • Manage HODs credit expenditure, ensure within credit limit or alert when nearing limit. 
  • Regional reconciliation of expenditure, monthly, with weekly updates and daily tracking.
  • To be accountable for the quality and compliance of participant files through completing 100% checks on all paperwork and electronic records.
  • To complete the reconciliation process in accordance with compliance procedures.


The Programme

This role is part of our Job Entry Targeted Support (JETS) contract. This contract is designed to help our North West residents who have been unemployed and in receipt of benefits for at least 13 weeks, to find sustained work.

We work with a range of people throughout including our dedicated Employer Account Managers, Employability Professionals, Group Facilitators and local community organisations to create a support package to help our participants find the right job.
