Receptionist Manchester

Part Time Permanent 20 hours per week  Monday - Friday 10.00am - 14.00pm

Salary: £26,227.50 per annum ( Pro Rata for 20 hours paid work for this position is (£13,888.00 per annum).

Location:  Ingeus Manchester office St Anns ,House St Anns Street Manchester M2 7LP

About the role:

As our Receptionist, you will work at our central Manchester office and will support the smooth day-to-day running of the office, acting as the first point of contact for all visitors and participants. The role is primarily front-of-house, ensuring a professional, welcoming, and well-organised reception environment.

What you will be doing:

  • Responsible for greeting and signing in participants and visitors, notifying advisors of arrivals, and managing appointment flow across the site.
  • Handling general reception duties, including enquiries, petty cash and voucher processes, and maintaining accurate records.
  • Provide a warm, friendly, and professional welcome to all participants, visitors, and staff, taking ownership of the front desk to ensure a consistently positive experience.
  • Manage the sign-in process, confirm appointments, and promptly notify advisors of participant arrivals to support the smooth running of the daily schedule.
  • Support in identifying and coordinating cover for advisor appointments where required, ensuring minimal disruption to participant journeys.
  • Communicate clearly with participants regarding any appointment changes, ensuring expectations are managed and experience remains positive.
  • Handle incoming telephone calls and emails, responding in a timely and professional manner, accurately recording and passing on messages where required.
  • Data analysis and the preparation of excel spreadsheets to outline data trends.
  • Support participant queries at the front desk, ensuring clear communication and a helpful, solutions-focused approach at all times.
  • Support the organisation and upkeep of reception and communal areas, maintaining high standards of presentation, cleanliness, and functionality.

Essential Criteria:

  • Previous front of house receptionist or host experience in a busy professional environment 
  • Previous  experience in working in an administrative role and face to face customer service environment
  • Excellent knowledge of MS Office – Word, Excel, and Outlook.

  • Good level of literacy and numeracy.

- Level 2 qualification (including English and Maths).
