Location: Colindale Business Support Centre - Hybrid role
Hours: 9am – 5pm, Monday to Friday
Salary: £31,500
We are looking for an organised and proactive Rota Specialist to ensure the effective planning of Healthcare Professional (HCP) resources across our Assessment Centres and Business Support Centre. This role is critical in supporting service delivery, achieving performance targets, and ensuring the right resources are available to meet operational demand.
What you'll be doing:
- Develop and maintain HCP rotas using Microsoft Dynamics to support operational and contractual targets, including rolling 12-week, 8-week, 4-week and weekly schedules.
- Manage high volumes of rota changes to ensure alignment with Work Capability Assessment (WCA) business targets and operational requirements.
- Maximise clinical and estate capacity through effective resource allocation and demand-driven workforce planning that supports both operational needs and workforce preferences.
- Analyse workload, capacity, and resource requirements to meet demand, achieve targets, and identify future skill gaps for escalation to the management team.
- Collate and prepare relevant data and insights for weekly local planning meetings, and produce daily, weekly, and monthly rota reports to support operational delivery.
- Build strong relationships with Healthcare Professionals, Managers, and key stakeholders, acting as the first point of contact for rota and scheduling queries.
- Support continuous improvement initiatives and undertake additional planning and administrative activities as required to optimise workforce performance.
What we are looking for:
- Experience using Microsoft Dynamics for rota planning and resource scheduling.
- Effective planning and time management abilities, with a proven capacity to manage multiple priorities simultaneously.
- Proficient in Microsoft Excel and Outlook, with strong working knowledge of MS Word and PowerPoint.
- Excellent attention to detail and commitment to delivering high-quality work.
- Strong organisational skills, particularly in maintaining accurate electronic records.
- Ability to work under pressure and meet tight deadlines, demonstrating flexibility during periods of increased demand.
- Strong interpersonal and communication skills, with the ability to respond professionally to requests via telephone, email, and face-to-face interactions.
- Willingness to work additional hours or at alternative locations when required.
